Search and filters
The search bar at the top of every page, # and @ filters, the Filter button, filter chips and sort order.
Ultrathink has one search bar, at the top of every page. Type in it to filter the page you are on as you go. Press Enter to ask AI search a question instead. For anything more precise, the Filter button in each page header narrows the list by type, topic, person, status, due date and more.
The search bar
Filter the page as you type
On All items, Projects, Tasks, Knowledge, every view, Topics and People, typing in the search bar filters the page straight away. It works in every view: list, table, board and calendar. The box says Filter this page, or press Enter to ask AI.
It matches your words against:
- the title;
- your notes or the captured text;
- topics;
- the web address;
- people.
The match is not case sensitive and can be part of a word: “plan” finds “planning”.
Moving to another page starts with an empty box, and coming back does not bring the old text back.
# for a topic, @ for a person
- Type # and a topic name, such as
#marketing, to show only entries with exactly that topic. - Type @ and a name, such as
@Sam Lee, to show only entries with that person. - Press Enter and it becomes a filter chip in the page header, so you can keep it while you type something else.
If you press Enter on a page that has no entries list, such as Settings, it opens All items with that filter on.
Clicking a topic or a person in the detail panel does the same thing.
Enter asks AI search
Type a question and press Enter, and the Search page opens with an answer drawn from your entries, with the matching entries underneath. The button at the end of the box says Ask AI, or Filter by it when you have typed a # or @.
AI search is part of Pro. On the Free plan the box shows a PRO label, and the Search page offers an upgrade instead of an answer. See AI search.
Keys
| Key | What it does |
|---|---|
| Ctrl K (Cmd K on a Mac) | Jump to the search bar from anywhere |
| Enter | Ask AI search, or turn a # or @ into a filter |
| Esc | Clear the box. Press again to leave it |
The cross at the end of the box also clears it.
The Filter button
Every entries page has a Filter button in its header. When filters are on, it shows how many.
- Click Filter.
- Pick a field, such as Topic. You can type in Filter by to find a field or a value quickly.
- Pick one or more values. Each value shows how many entries on the page have it.
- Choose how the values match. Most fields have is (any of the values) or is not (none of them). Topic and Person also have has all (every one of them). Date fields have is for a named day or period, last and older for a number of days, weeks or months, and on Due, next.
Each filter appears as a chip in the page header. Click its cross to remove it, or Clear all to remove them all.
Filter fields
| Field | Values |
|---|---|
| Type | Link, Note, PDF, Screenshot, ChatGPT and so on, as found on the page |
| Entity | Your Project, Task and Knowledge labels, and Unclassified |
| Status | Open (any), Done (any), No status, then every status in your workflows |
| Category | Work, Personal (or your own labels), No category |
| Topic | Every topic on the page |
| Person | Every person on the page |
| Starred | Starred, Not starred |
| Due | Overdue (Pro), Today, This week, This month, Has a due date, No due date, or in the last, more than or in the next a number of days, weeks or months |
| Waiting on | Me, Anyone but me, each person tasks wait on, Nobody |
| Captured | Today, This week, This month, or in the last or more than a number of days, weeks or months |
| Updated | When the entry last changed, with the same choices as Captured |
Status, Due and Waiting on appear on pages that have tasks or due dates.
Values within one filter match any of them, unless you chose has all or is not. Different filters must all match. So Topic is marketing or sales, and Starred, shows starred entries about marketing or sales.
You can filter the same field twice, for example Topic is earl and Topic is not draft.
To keep a set of filters, save it as a view. See Views.
Done tasks and overdue tasks
On Tasks, the foot of the Filter panel says how many tasks are completed, such as “12/40 completed”, and how many are overdue. Click the overdue count to filter to overdue tasks (Pro).
To hide done tasks, add Status is not Done (any). Settings > Tasks > Hide done by default adds that filter whenever you open Tasks. Remove the chip to see done tasks again.
Reset a page
Clicking the page you are already on in the sidebar clears its filters and search.
Sort order
Open Display options in the page header and choose an order in Order by:
- Date captured (the default, newest first)
- Title
- Type
- Entity
- Category
- Due date
- Starred
The arrow next to it switches between ascending and descending.
In the table view, clicking a column heading sorts by that column, whichever order is chosen. If you would rather not see Order by, switch off Ordering in Settings > Grid.
When nothing matches
- If filters hide everything, the page says so: change a filter in the header, or clear them all.
- If your search finds nothing, press Enter to ask AI search instead (Pro).
- New entries can take a few seconds to get their topics and people from the AI, so a # or @ filter may miss them at first.
Tips
- Use the search bar for a quick look, and filter chips for something you want to keep in view while you work.
#topicthen Enter is the quickest way to see everything about one subject.- Ask AI search a whole question in plain words, rather than a keyword or two.
